BakePilot - ERP System for Bakeries

About the product

BakePilot is a proprietary SaaS product created by KamikStudio - an ERP system designed specifically for bakeries and pastry shops. It is not a client commission but our own digital product built from scratch: from industry analysis, through architecture and business model, to launch, maintenance and further development. The platform runs on a subscription model and covers the entire operational chain of a bakery - from order intake, through recipe costing and production planning, to invoices compliant with KSeF (the Polish national e-invoicing system).

The market problem

The bakery and confectionery industry in Poland remains one of the least digitized sectors. Bakeries still plan production on cork boards, calculate recipe costs in Excel and keep the HACCP documentation required by the sanitary inspection on paper. Existing ERP systems are too generic, expensive and ill-suited to the specifics of the industry: they have no concept of a recipe with allergens, a recurring bread order or a temperature control form. The owner of a small bakery is left with a choice: a costly corporate system or a notebook and a spreadsheet.

What we built

BakePilot is a fully cloud-based multi-tenant platform, designed from the ground up for how bakeries and pastry shops actually work. One shared infrastructure serves many organizations, and each of them works in an isolated data space - with its own users, recipes, orders and documentation.

1. Multi-tenant architecture with data isolation

The platform uses Row Level Security (RLS) on Supabase. Data isolation is enforced at the PostgreSQL database level, not just in application code - the security foundation of the entire system.

2. Day-to-day operations

Five core modules cover the daily work of a bakery - from order intake to the production plan for the day.

3. Production and recipes

• Recipe calculator
  Automatic production cost calculation including ingredients, margin and waste. Recipe import from Excel files

• Ingredients
  Managing the raw materials base with purchase prices, suppliers, allergens and units of measure

• Production kanban
  A digital production board replacing the physical cork board. Drag and drop, real-time statuses, workstation assignment

• Warehouse
  Stock levels for raw materials and products, automatic low-stock alerts, movement history

4. Administration and regulatory compliance

• HACCP (GHP/GMP)
  Digitized forms required by the sanitary inspection - temperature, cleanliness and expiry date checks. No more paper tables

• Invoices + KSeF 2.0
  Invoicing with integration with the Polish National e-Invoicing System. Full compliance with mandatory KSeF

• Reports and analytics
  Sales, production cost and product profitability reports. Charts and data export

• Quotes, contracts and notes
  Preparing sales quotes, managing B2B client contracts, internal team notes

5. Business model: three subscription plans

The product is not just code - it is also a complete SaaS model: pricing plans, recurring payments via TPay, a no-card trial and automatic module access management based on the plan.

The top Expert plan (€86/mo) unlocks all 15 modules with no user limit - including KSeF 2.0 e-invoices, full analytics and HACCP documentation.

What this says about our craft

Building your own SaaS is the toughest test of a software house's competence. There is no client handing over a specification - you have to research the industry yourself, design the data model, the multi-tenant architecture, the permission system, subscription billing and integrations with government systems (KSeF, the Ministry of Finance API). You also take full responsibility for the security, maintenance and growth of a product that manufacturing businesses rely on every day.

Exactly the same competences are needed for custom systems built for clients: B2B panels, configurators, production and order management systems. Since we built a complete ERP for the food industry from scratch, designing a system around a specific company's processes is our natural territory - with the difference that we create the specification together with the client, not with the whole market.

This effect is already working in practice: BakePilot has brought us industrial clients, including a formwork manufacturer for whom we are currently building a custom management system. Manufacturing companies that saw a working ERP built by our team needed no further references.
